Overview of St. Matthew’s Administrative Assistant Position
St. Matthew’s Episcopal Church is seeking an Administrative Assistant to support our
Rector, church staff, the Vestry, committee volunteers and parishioners. The
Administrative Assistant maintains the church office and serves as an important contact
for parishioners, visitors and guests. This part-time role involves performing various
administrative duties, resolving issues, and assisting with parish operations to ensure
smooth functioning of the church's activities.
Responsibilities
-- Perform basic office duties on behalf of the Rector and parish: answer and make
phone calls when necessary; coordinate scheduling; make copies; pick up the
mail from box every morning; take mail to post office when needed; order
supplies.
-- Manage various financial responsibilities: enter monetary offerings and donations
into the online system; take funds to the bank; manage payroll twice a month and
enter all information into ADP and ICON systems; pay, record and file all church
bills; enter church pledges in ICON system; take deposits to the bank; compile
and send out quarterly statements to parishioners.
-- Create and print the weekly church bulletin in both electronic and printed formats;
create and print bulletins for other services, such as for weddings, funerals, Holy
Week services and more.
-- Support church membership efforts.
-- Interact with parishioners, visitors or guests needing assistance.
-- Assist church vestry members with various requests.
-- Manage various responsibilities for the Diocese: coordinating with the Diocesan
office for Bishop visits; registering delegates for the Church Convention;
preparing certificates for baptisms, confirmations and more.
-- Perform other duties as needed.
Requirements
-- Excellent oral and written communication skills.
-- Ability to multitask and prioritize time effectively with minimal to no supervision.
-- Highly motivated and self-driven with a positive attitude.
-- Creative mindset and passion for delivering high-quality work.
-- Ability to maintain strict confidentiality regarding church business and pastoral
situations
-- Valid driver's license and reliable vehicle required.
Education and Work Experience
-- High school diploma or GED
-- Minimum of one year of secretarial experience
Technical Skills
-- Good skills with Microsoft Word; working knowledge of Excel and PowerPoint
-- Familiarity with or ability to quickly learn ICON church software and ADP software
General Characteristics Required
The Administrative Assistant must display a professional and pastoral attitude at all
times. Should show an interest in the Church, its preschool, staff, ministries and
parishioners. Personal characteristics include, organized, patient, friendly, honest,
dependable, trustworthy, respectful and even-tempered. Should be able to work
independently and with others and be able to solve problems and issues as needed in a
Christian manner. Expected to honor and respect the values of the Church.
Nice-to-Haves
-- Experience with a non-profit or church
-- Familiarity with the Episcopal Church
Other Position Details
The Administrative Assistant will work 25 hours per week Monday through Friday, with
additional hours occasionally for special events or needs. Standard work days and
times are Monday-Friday, 9 a.m. to 2 p.m., with morning start time negotiable. The
Administrative Assistant will report to the church’s Rector or other church staff in his
absence and work in the church office located at 101 St. Matthews Lane, Spartanburg,
S.C., (864) 576-0424. The administrative assistant will sometimes need to make short
trips to the bank and post office for church business.
The salary is $28k - $30k annually based on skills, education, and experience.
